CONFERENCE Registration

Exhibitor and attendee conference registration is scheduled to open in May 2025.

All exhibitors must have their Certificate of Insurance submitted and approved before you can proceed with registering your booth staff for the conference or reserving discounted hotel rooms.

Each exhibiting company receives one (1) full complimentary conference registration plus two (2) EXPO floor only complimentary passes for each 100 square foot of exhibit space purchased. Each exhibiting company is allowed to purchase additional registrations beyond their allotment.

Certificate of Insurance

Every exhibitor must submit the following documents, or they will not be allowed to set up on the show floor for the 2025 EXPO.

IMPORTANT TO READ BEFORE SUBMITTING YOUR COI:

General liability and fire insurance is the responsibility of the Exhibitor. A certificate must be furnished naming ASLA as co-insured with limits of liability of at least $1,000,000 combined single limits including bodily injury and property damage.

Before uploading your Certificate of Insurance, please confirm that it meets the following requirements:

  1. Certificate must list the American Society of Landscape Architects with our address as additionally insured. The address is: 636 Eye Street NW, Washington, D.C. 20001-3736.
  2. Dates of coverage must be listed at a minimum of October 8-13, 2025.
  3. The venue’s proper address must be listed as the event location on the certificate. New Orleans Ernest N. Morial Convention Center and its address (900 Convention Center Blvd, New Orleans, LA 70130).

Booth Plan Approval

Schematic is required for submission and approval if your booth is larger than a 10×10. ASLA follows the IAEE Guidelines for Display Rules and Regulations for exhibiting.

Approval of the booth plan is required before set-up is allowed on the show floor. Booth plans must be submitted by Tuesday, July 1, 2025, at 5pm EST.

Exhibit Materials and Services  

Exhibitor services will be provided by several partners. It is key for you to be aware of who you are doing business with when ordering materials and services. Please find below a snapshot of services and the assigned provider. All service forms applicable will be located within the Exhibitor Service Kit even if the service is not provided directly by Freeman.

Services for plumbing, electrical, internet, and catering services will be provided by the Ernest N. Morial Convention Center. You can order services directly with their team.

EXHIBITOR APPOINTED CONTRACTOR

An EAC is a company or contractor hired by the exhibitor, who is NOT an employee of the exhibiting company or an official show contractor (i.e. Freeman). EACs are most often independent installation & dismantle companies but this also includes supervisors, technicians, photographers, audiovisual, floral, furniture, flooring, and any other contractors who aren’t official show contractors but provide a necessary service during move-in & move-out.

Designating your EAC provides the show organizer visibility into who is working on the show floor and helps the organizer, you as the exhibitor, and the EACs.

There are TWO steps to the EAC Designation Process:

  • Step One [Exhibitor Action]: Designate your EAC by completing the EAC form and submitting. Note: you must complete a separate form for each EAC company working in your booth.
  • Step Two [EAC Action]: The EAC Company must complete their side of the EAC designation form. This includes providing onsite contact information, acceptance of the rules & regulations, and uploading a valid Certificate of Insurance (COI) to gain approval.

Exhibitors are responsible for informing EACs of the requirements and ensuring compliance.
